EXHIBITOR PASSES
Please find the details below regarding additional passes available to exhibitors, along with the applicable fees.
Additional Co-Delegate pass (with lunch): IDR 4,000,000 per pass (Maximum 1 badge per standard booth)
Additional Co-Delegate pass (without lunch): IDR 3,000,000 per pass (Maximum 1 badge per standard booth)
Additional Full Delegate pass (with PSA): IDR 18,000,000 per person - Includes lunch (maximum 1 badge per standard booth)
Each standard booth is entitled to 1 Full Delegate and 1 Co-Delegate passes. Only 1 additional delegate (Full or Co) may be added — maximum 3 delegates per booth.
A reprinting fee of IDR 100,000 will be applied for delegate replacement, and IDR 500,000 for a lost pass.
Delegate name replacement is allowed only due to force majeure (e.g., illness, death, accident, or natural disaster), and must be done on June 29th, 2026. A pass reprinting fee will apply, along with a company statement and return of the original badge.
TERMS OF PAYMENT
Please note that all prices are excluded from government tax. The payment period is specified in the stand rental invoice. Please quote the invoice number and customer number when making the payment.All payments should be made to one of the accounts indicated in the invoice as follows:

100% cancellation fee will be applied if the cancellation is made during the early bird and it is Non-Refundable.
50% cancellation fee will be applied after 21 days from the registration date issued as Exhibitor BBTF 2026 & Non-Refundable.

HALLS AND INDOOR PLACES REGULATION
For booth decoration, it is required to use recyclable materials or eco-friendly options.
No outside food is permitted unless it has clearance from the committee.
No Selling food or drink on the booth unless permitted.
Musical and folklore performances are requested to apply for permission to the committee. The same rules apply to all events/performances that take place at the stand.
Advertising is only permitted within the exhibitor’s official stand area. Promotion teams may operate only with special permission.
Handouts of a political nature may not be distributed in any form. Moreover, the design and decoration of the stands must be free from any kind of political statement.
It is forbidden to attach posters or any other materials to any walls or floor surfaces outside the hired stand.
When possible, requests by exhibitors for parking space on the exhibition grounds will be taken into consideration if possible; rights to a parking space proper or a certain parking space do not exist.
During the construction and dismantling period, as well as during the fair, the regulations of the traffic guide will be applied for authorized traffic on the fairground.
Exhibitors and accompanying persons are required to leave the halls no later than one hour after the fair closes. Everyone leaving the exhibition grounds with a parcel is required to show the parcel’s origin to the exit guards.
Animals are not allowed into the exhibition grounds.
All Sellers must not dismantle any booth decoration before 30th May 2026 at 06.30 pm. Early dismantling is not permitted and may result in penalties.
Please share the responsibility to ensure no holes or damage to the partition; otherwise, a fine of IDR 5 million may be applied.
Booth Setup and Teardown: Detail the setup and teardown dates and times. In need of information on booth design guidelines, restrictions, and requirements, including any regulations for safety and accessibility.
Exhibitor Responsibilities: I need specific responsibilities of exhibitors, such as booth maintenance, cleanliness, and adherence to event rules and regulations. Include any requirements for liability insurance.
Utilities and Services: Explain what utilities and services (e.g., electricity, internet, water) are included with the booth rental and whether additional services are available for purchase.
Booth Signage and Branding: Outline any rules regarding booth signage, branding, and promotional materials, including size and placement restrictions.
Security: Describe the event’s security measures and any exhibitor-specific security responsibilities, such as safeguarding valuable items.
Compliance with Laws: Require exhibitors to comply with all local, state, and federal laws and regulations related to their participation in the event.
Liability and Insurance: Specify liability and insurance requirements. Exhibitors may need to provide proof of liability insurance, and you should clarify who is responsible for any damage or loss of property.
Termination: Explain the circumstances under which the agreement can be terminated, including breaches of the terms and conditions.
Force Majeure: Include a clause regarding unforeseen circumstances (force majeure) that may affect the event, such as natural disasters or government mandates.
Dispute Resolution: Specify how disputes will be resolved, whether through arbitration, mediation, or another method.
Indemnification: Require exhibitors to indemnify and hold the event organizers harmless from any claims or liabilities arising from their participation.
All Exhibitors / Sellers are not allowed to invite Buyers for any kind of reason or purpose during the period of BBTF Travex, 28th to 30th May, 2026.
FORCE MAJEURE
Force Majeure is a condition or event that cannot be avoided or overcome by each of the parties, or event that occur due to out of the will, ability of power of each party, including, but not limited to acts of God, war, government regulation, interests of the government, disaster, fires, strike, riot, embargo, battle, national disaster, civil disturbance or other similar causes beyond the capabilities or the threat of the parties, so it is not recommended, illegal, or impossible to conduct or organize the event.
The Committee is eligible to reschedule or cancel the event due to force majeure.
The Committee is not eligible to refund the registration fee and rental exhibition space due to the force majeure.
Registration fee and rental exhibition space will automatically secure the agreement for the new schedule BBTF event.
Fee is not refundable or transferable.
POWER CONNECTIONS, PARTITION WALLS & ELECTRICITY All power and/or partition walls must be specifically ordered and paid for (see web shop).
Additional Electricity and partition walls are on exhibition at personal expense
DRESS CODE
Seller participants wear the Indonesian Traditional Dress on Thursday, 28th May 2026.
All participants must wear business attire during BBTF events.
